Property Administrator

The primary purpose of the role is to support the on-site management team in the day-to-day operation of the portfolio.

 

On a day-to-day basis, the key responsibilities of the Property Administrator include but are not limited to:

  • Receive incoming requests for service - via phone, email or in-person - from Tenants and responding by providing infromation, problem solving, or escalating the matter as appropriate;
  • Draft all tenant communication materials, for review by the Senior Property Manager; ensure all tenant communication materials and emergency procedures packages are maintained accurately and are up-to-date;
  • Administer the Angus Anywhere work order system;
  • Provide support to management;
  • Maintain and update the contract service vendir log containing contract amounts and commencement and expiration dates;
  • Process all incident reports to Risk Management/Insurer;
  • Coordinate and prepare monthly and quarterly reports and assist with the preparation of the annual budget;
  • Monitor the collection of rental payments and undertaking collection efforts, providing weekly reports on the status of A/R;
  • Respond to tenants and Corporate Accoutning staff regarding A/R;
  • Assist in the tendering process for supplies and services and coordinate specifications and tendering of contracts;
  • Respond to contractor queries and correspondence;
  • Maintain and update Building Emergency Evacuation Plan;
  • Maintain tenants contact lists, vendor and fire warden lists, emergency call out lists;
  • Maintain insurance binders for tenants and vendors (+WSIB) to ensure that all requirements are being met;
  • Assist with event planning;
  • Enter purchase orders in JDE and distribute/place orders; and
  • Prepare tenant chargeback invoices through Angus.

 

To succees, candidates must possess the following combination of education, experience and skills:

  1. 5+ years of experience in the commercial property management field;
  2. Enrollment in the Real Property Administrator (RPA) certificate program;
  3. Excellent verbal and written communication skills;
  4. Superior interpersonal and custoemr service skills;
  5. Strong working knowledge of MS Office products (MS Word, Excel and Outlook);
  6. Experience working with JDE EnterpriseOne is desirable; and
  7. Demonstrated ability to work effectively in a deadline-driven environment.
