POSITION DESCRIPTION

Under the general supervision of the Manager, Events and Facilities, the incumbent acts as the main liaison with the University’s Facilities & Services, Property Management, and external contractors for building and property maintenance. Major duties include coordinating all work orders for repairs, caretaking, cleaning and job estimates for all Faculty of Law buildings; resolving complaints and determining the best and most efficient course of action in dealing with maintenance issues; coordinating renovation projects by ensuring action items are followed up and established deadlines are met; identifying repairs and investigating repair techniques on how to best proceed; coordinating and overseeing logistics involved with office moves; following up with Facilities & Services on invoice discrepancies; coordinating external vendors and contractors; sourcing and recommending purchases of office furniture, equipment, and signage. Responsible for the project coordination related to the Faculty of Law’s facilities. Provides supervision for the receptionist position.

QUALIFICATIONS

(Minimum)

Education:
Completed bachelor’s degree in Building Sciences/related field or an acceptable equivalent in education and experience is required.

Experience:
Minimum of 3 years of experience required, including experience in operations administration preferably in an academic environment; Experience acting as the main liaison/coordinating solutions with respect to issues such as, but not limited to, building maintenance and operations, waste and recycling, caretaking, health and safety as well as space for all physical plant aspects of buildings. Experience coordinating facilities/renovation projects is essential, as is experience

 

in the delivery of services to a client group; experience performing routine building inspections, experience analyzing processes, drafting reports and recommending improvements; prior experience handling minor repairs; knowledge of construction trades and facilities maintenance requirements, including ability to understand, communicate, and deal effectively with vendors and contractors; ability to work independently; awareness of building systems, security, safety and fire procedures; ability to move or lift light to moderate objects (up to 15kgs) and be able to work outdoors in most weather conditions during moving, inspection and renovation projects; ability to travel daily between facility sites; familiarity with University of Toronto policies and procedures a definite asset. Proven supervisory experience is a strong asset, as is proven success in understanding and building strong work relationships with faculty, staff, students, and external partners.

Skills:
Demonstrated success both working independently and as a member of a cross-functional team; excellent skills in Microsoft Office suite, PowerPoint and database software; excellent prioritization skills are required. Must have superior customer service skills; excellent oral and written communications skills and an ability to communicate detailed and evolving information to clients and staff; superior interpersonal skills, including the ability to mentor and lead staff; demonstrated sensitivity to organizational priorities; demonstrated flexibility and multi- tasking; strong organizational skills and good judgment; result-oriented; ability to handle matters of a sensitive and confidential nature; strong grasp of cost efficiency; adaptability to a very fast pace environment; must use own initiative and assume responsibility/ownership of job functions.

Other:
Demonstrated, tact and diplomacy are required when working with all levels of faculty, staff and students. Must have demonstrated initiative; creativity and excellent problem solving abilities are essential, in addition to a willingness to learn and upgrade skills.
